For all employer-sponsored services performed by CADUCEUS, a formal authorization is required. This notice must include the patient’s name, what services are to be performed, confirming the billing, who has authorized the services, and for which company. Authorization may come in several forms:
Our preferred method for all appointments is a Service Request submitted via our proprietary EMR system. This digital authorization is the safest, most secure, and HIPAA compliant way to send a notice to the CADUCEUS team. There is also a section to add comments for our front desk to see.
Other acceptable authorizations include an Email (for urgent needs), Fax (for high volume), or Paper (best practice for after-hour service visits).
Reminder: We do not accept verbal authorizations. If your employer has questions about this process, please direct them to our Service Request portal for a smooth experience.

Caduceus has a variety of services that we classify as corporate services. These services include physicals, drug screens, vaccinations, and any other service not considered workers compensation or related to an injury. We offer and perform these services within our facilities, throughout our network of nationwide clinics, and even on the telemedicine app.

Since its inception in 2004, our state-of-the-art EMR system has since progressed to version 5, offering clients immediate access to cutting-edge features such as real-time updates on work status, physical examination results, drug screening outcomes, scheduling capabilities, comprehensive client summary reports, and other pertinent information available 24/7 for view and download.
A state issued form that documents an injury as soon as it occurs in the workplace. This form includes the patient demographic information, details about the incident and location, and the nature of the injury. A FROI form guarantees prompt reporting and accurate processing of a claim once filled through the carrier.

The core objective is to promote a healthy work environment, prevent occupational hazards, and manage workplace injuries effectively.
A term to define the single controlling entity for an organization’s hierarchy.
A company that acts on behalf of another company, often managing aspects of healthcare management and insurance purposes. In occupational medicine, a TPA provides guidance on administration and processing of the claim for a patient as it relates to corporate services.
Are performed for individuals who sustain an injury at the workplace. At CADUCEUS, a tailored treatment plan based on the type of injury and its severity will determine if next steps which may include X-rays, stitches, blood draws, vaccinations, or medication may be required to perform or dispense.
The chain of custody otherwise referred to as the COC is a document utilized for a variety of services. Drug screen collections can be taken from Hair, Urine, as well as Blood.
Drug and alcohol testing pertains to alcohol, narcotics or illegally utilized substances a person may or may not have in their bodily system. These types of tests can be performed on urine, saliva, or hair. Caduceus offers a variety of reasons to test including pre-employment, random, reasonable suspicion, post accident, return to duty, and follow-up. We also perform testing to industry specific standards like the Department of Transportation.
The study of workplace design to improve comfort and reduce strain-related injuries.
A physical examination that determines if an employee or candidate meets the required physical parameters for a specific job or position.
Provides an objective medical opinion to clarify an outstanding issue regarding a patient’s medical condition or diagnosis.
The most common injuries treated in occupational medicine consist of sprains, strains, slips/falls, lacerations (cuts) and musculoskeletal disorders.
A certified licensed provider who has completed training in reviewing and interpreting drug screen results. Their role is to medically verify a result. If a positive result, they must evaluate whether there is a legitimately valid explanation due to a prescribed medication or another medical need.
A temporary adjustment of work tasks to accommodate an employee recovering from an injury.
A drug screen or physical that does not require the DOT regulations. For the drug screen, which is a 5-panel, tests for Barbiturates, Methadone, Quaaludes, Benzodiazepines, and Propoxyphene.
A test result on a drug screen that a substance has been detected. Depending on the company and their internal processes, a non-negative reading could be considered a positive result. However, further testing would be required to confirm a true positive result.
Onsite refers to corporate services that are performed by Caduceus on a client owned facility.
A type of healthcare and treatment to promote recovery and restore function, often used after an injury has occurred. At Caduceus, we offer customized treatment plans tailored to individual needs and goals, including Functional Capacity exams.

A Provider is a Doctor, Physician’s Assistant, and Nurse Practitioner.
A test that measures lung function, often required for workers exposed to respiratory hazards.
A test to ensure that a worker’s respirator properly fits and provides adequate protection from airborne hazards.
Services that are rendered after an employee has been away from work including, but not limited to illness, injury, extended leave, and extended vacation.

At CADUCEUS, these recorded virtual visits for Triage, First Aid, Office Visits, Mental Health, Drug Testing, and New Hire Evaluations services ensure timely and efficient occupational medicine at your fingertips.
Is the medical determination made by a CADUCEUS provider to finalize the result of a visit. For a physical examination or drug screen, the results could be Pass/Qualified, Fail/Disqualified, or Pending – which is when a sample is being processed by an outside laboratory. For a workplace injury Full-Duty/Qualified, Off-Duty/Disqualified, Modified-Duty/Restrictions. If there is a question about a result, please contact your nearest CADUCEUS facility to speak to a member of our staff.

Each contact associated with an Employer will have a profile with their demographic information and the option to turn EMR access on or off. *The notification methods for visits, bills, and appointments are settings to choose from, and what differentiate a user from another.

Serves as the point contact on a company account to CADUCEUS. This designated team member also has the ability to edit account level changes for their company within the CADUCEUS EMR such as editing team members and branches and adding or modifying services. There can only be one Primary Authorizer assigned to an account at a time.
